Overview

 

The Sapientia Filipina: Review of Education and Multidisciplinary Studies (SFREMS) is committed to protecting the rights, dignity, privacy, and welfare of individuals who participate in scholarly research. Authors are responsible for ensuring that all research involving human participants is conducted in accordance with recognized ethical principles, applicable laws, and institutional requirements. When manuscripts contain information, images, recordings, or other materials that may directly or indirectly identify individuals, appropriate informed consent must be obtained before submission and publication.

SFREMS recognizes that research published across education and multidisciplinary disciplines may involve students, educators, professionals, patients, community members, vulnerable populations, organizations, or other human participants. Authors are therefore expected to safeguard participant privacy while promoting ethical and responsible dissemination of scholarly knowledge.

 

Protection of Participant Privacy

 

Authors must protect the privacy and confidentiality of research participants by removing or anonymizing information that could reasonably identify an individual unless explicit written permission has been obtained.

Identifiable information may include, but is not limited to:

 
Names and initials;
 
Photographs or facial images;
 
Audio or video recordings;
 
Institutional or workplace identifiers;
 
Home or workplace addresses;
 
Email addresses;
 
Telephone numbers;
 
Social media accounts or usernames;
 
Student identification numbers;
 
Employee identification numbers;
 
Medical or educational records;
 
Geographic information that may reveal identity;
 
Other unique personal characteristics.

Authors should ensure that all text, tables, figures, appendices, supplementary materials, and datasets adequately protect participant confidentiality.

 

When identifiable participant information is included in a manuscript, authors must obtain written informed consent before submission.

The informed consent process should ensure that participants:

 
Understand the purpose of the research;
 
Understand the purpose of publication;
 
Are informed of the nature of the information to be published;
 
Understand any potential risks associated with publication;
 
Voluntarily agree to the publication of identifiable information.

Consent should be obtained before manuscript submission whenever publication could reasonably expose participant identity.

 

Research Involving Vulnerable Populations

 

Research involving vulnerable individuals requires additional ethical safeguards.

Examples include:

 
Children and minors;
 
Students under legal age;
 
Persons with disabilities;
 
Older adults with diminished decision-making capacity;
 
Economically or socially disadvantaged populations;
 
Indigenous Peoples and cultural communities;
 
Refugees and displaced persons;
 
Individuals in dependent relationships with researchers;
 
Persons unable to provide legally valid consent.

Where participants are legally incapable of providing consent, written permission must be obtained from a parent, legal guardian, or other legally authorized representative in accordance with applicable laws and institutional ethics requirements.

Authors should ensure that participation is voluntary and free from coercion or undue influence.

 

Educational Research

 

Because SFREMS publishes research in education, authors conducting studies involving students, teachers, school personnel, administrators, or educational institutions should ensure that:

 
Appropriate institutional approval has been obtained where required;
 
Participant privacy is protected throughout the research process;
 
Student records and educational data are handled confidentially;
 
Participation is voluntary;
 
Appropriate consent and assent procedures are followed when minors participate.

Researchers should minimize any potential risks associated with participation in educational research.

 

Institutional Ethics Approval

 

Where applicable, manuscripts should include information regarding ethical review and approval.

Authors should provide:

 
Name of the approving ethics committee or institutional review board;
 
Name of the institution granting approval;
 
Approval or protocol number, where available;
 
Date of approval where appropriate.

If formal ethics review was not required, authors should explain the reason in the manuscript.

 

Author Responsibilities

 

Authors are responsible for confirming during manuscript submission that:

 
Appropriate informed consent has been obtained where required;
 
Ethical approval has been secured where applicable;
 
Participant privacy has been protected;
 
All published materials comply with applicable ethical and legal requirements.

Authors should retain documentation of informed consent and ethical approval and provide it to the Editorial Office if requested.

 

Confidentiality of Personal Information

 

Authors should ensure that research participants cannot be identified unless publication of identifiable information has been explicitly authorized.

When anonymization is possible, authors are encouraged to:

 
Remove direct identifiers;
 
Use pseudonyms or participant codes;
 
Aggregate demographic information where appropriate;
 
Avoid unnecessary disclosure of sensitive personal details.

The journal may request modifications to manuscripts if participant confidentiality is considered inadequate.

 

Post-Publication Privacy Concerns

 

If concerns arise after publication regarding participant privacy or informed consent, SFREMS will investigate the matter in accordance with its Publication Ethics Policy.

Depending on the circumstances, the journal may:

 
Request correction or anonymization of published material;
 
Publish a correction or editorial notice;
 
Issue an expression of concern;
 
Temporarily withdraw online access during investigation;
 
Retract the article where participant privacy cannot be adequately protected through correction.

All actions will prioritize participant welfare, legal obligations, and preservation of the scholarly record.

 

Exceptions

 

Certain research designs—such as systematic reviews, literature reviews, bibliometric analyses, theoretical papers, policy analyses, or studies using publicly available and fully anonymized datasets—may not require informed consent.

Where informed consent is not applicable, authors should clearly indicate this in the manuscript when appropriate.
