Data Sharing & Reproducibility

SFREMS

Overview

The Sapientia Filipina: Review of Education and Multidisciplinary Studies (SFREMS) is committed to promoting transparency, reproducibility, and responsible research practices through the appropriate sharing and documentation of research data. Authors are required to include a Data Availability Statement in every manuscript, describing the availability of the data, materials, software, or other resources supporting the findings of the study.

The journal recognizes that data sharing strengthens scholarly integrity, facilitates independent verification, promotes collaboration, and enhances the long-term value of published research. At the same time, SFREMS acknowledges that ethical, legal, privacy, proprietary, or contractual obligations may limit the public sharing of certain types of data.

Data Availability Requirements

Authors must include a Data Availability Statement indicating how the data supporting the findings of the study may be accessed.

Research data may be:

Publicly available in a recognized institutional, disciplinary, governmental, or general-purpose repository;

Included as supplementary material accompanying the published article;

Available from the corresponding author upon reasonable request;

Subject to access restrictions due to ethical, legal, privacy, contractual, or proprietary considerations;

Not applicable when no new data were generated or analyzed.

Where data are deposited in a repository, authors should provide:

Repository name;

Persistent identifier (e.g., DOI);

Accession number, where applicable;

Permanent URL or repository link.

Types of Research Data

Depending on the nature of the study, research data may include:

Quantitative datasets;

Qualitative interview transcripts or coded data;

Survey responses;

Experimental measurements;

Observation records;

Educational datasets;

Laboratory results;

Software or computer code;

Statistical analysis scripts;

Research instruments;

Questionnaires;

Interview guides;

Images or multimedia files;

Case study documentation;

Supplementary tables or figures;

Other materials necessary to understand or verify the reported findings.

Authors are encouraged to provide sufficient documentation to facilitate understanding and appropriate reuse of shared materials.

Restricted Data

SFREMS recognizes that certain research data cannot be shared publicly.

Acceptable reasons for restricting access include:

Protection of participant privacy;

Confidentiality agreements;

Institutional ethics requirements;

Legal or regulatory restrictions;

Commercial confidentiality;

Intellectual property protection;

Indigenous knowledge protections;

Sensitive educational records;

National security considerations;

Other legitimate ethical or legal obligations.

Where data cannot be made publicly available, authors should clearly explain the reason within the Data Availability Statement and indicate whether access may be granted under specific conditions.

Data Repositories

Authors are encouraged to deposit research data in trusted repositories that provide long-term preservation and persistent identifiers.

Examples include:

Institutional repositories;

Discipline-specific repositories;

Government repositories;

General-purpose repositories;

Other internationally recognized data repositories appropriate to the discipline.

The journal encourages the use of repositories that support open access whenever ethically and legally appropriate.

Example Data Availability Statements

Authors may adapt one of the following statements as appropriate.

Reporting Standards

Authors are expected to provide sufficient methodological detail to allow readers to understand, critically evaluate, and, where appropriate, replicate the study.

Manuscripts should clearly describe:

Research objectives;

Theoretical or conceptual framework;

Research design;

Participant selection or sampling procedures;

Data collection methods;

Research instruments;

Analytical techniques;

Statistical procedures;

Authors are encouraged to follow internationally recognized reporting guidelines appropriate to their research design and academic discipline.

Reproducibility and Research Transparency

SFREMS supports research practices that promote reproducibility and transparency across multidisciplinary fields.

Authors are encouraged, whenever ethically and legally possible, to provide:

Detailed research methodologies;

Data collection procedures;

Analytical workflows;

Statistical analysis scripts;

Programming code or algorithms;

Research instruments;

Survey questionnaires;

Interview protocols;

Coding manuals;

Laboratory procedures;

Supplementary datasets.

Providing these materials enables other researchers to verify, reproduce, extend, or build upon published findings.

Data sharing should always respect:

Participant privacy;

Confidentiality agreements;

Institutional Review Board (IRB) or Research Ethics Committee requirements;

Data protection and privacy legislation;

Intellectual property rights;

Commercial confidentiality;

Contractual obligations;

Applicable national and international laws.

Authors must ensure that any shared datasets have been appropriately anonymized, de-identified, or aggregated before public release whenever individual participants, organizations, or confidential business information could otherwise be identified.

The journal recognizes that legitimate ethical, legal, commercial, contractual, or privacy considerations—including compliance with the Data Privacy Act of 2012 (Republic Act No. 10173) of the Philippines—may limit data sharing. Accordingly, SFREMS will not require authors to disclose confidential information or personal data in violation of applicable laws, ethical standards, institutional policies, or contractual obligations.

Compliance with the Philippine Data Privacy Act

For research involving personal information, sensitive personal information, or privileged information collected within the Philippines, authors must comply with the Data Privacy Act of 2012 (Republic Act No. 10173) and its Implementing Rules and Regulations (IRR), as well as relevant issuances of the National Privacy Commission (NPC).

Authors are responsible for ensuring that:

Personal data are collected, processed, stored, and shared lawfully, fairly, and transparently;

Research participants are informed of how their personal information will be used, disclosed, retained, and protected;

Personally identifiable information is removed or appropriately anonymized before datasets are publicly shared;

Appropriate technical, organizational, and administrative safeguards are implemented to protect confidential information;

Data sharing complies with applicable institutional policies, ethical approvals, contractual obligations, and Philippine privacy legislation.

The journal will not require authors to disclose data in a manner that violates the Data Privacy Act of 2012, institutional ethics requirements, confidentiality agreements, or other applicable legal obligations.

Editorial Assessment

Editors and reviewers may consider the adequacy of the Data Availability Statement during editorial assessment and peer review.

Where necessary, the Editorial Office may request:

Clarification regarding data availability;

Additional documentation;

Revision of the Data Availability Statement;

Information regarding repository deposits.

Failure to provide an appropriate Data Availability Statement may delay editorial processing.

By encouraging appropriate data sharing, comprehensive methodological reporting, and responsible management of research outputs, the journal strengthens the reliability, credibility, and long-term value of published research while respecting ethical, legal, and privacy obligations. These practices support the advancement of education and multidisciplinary research for the benefit of researchers, educators, practitioners, policymakers, institutions, and society.
